What is the selection procedure?
To be eligible for an interim assignment via Circle8 you must always first respond online. The first part of the procedure is online: after completing the procedure your response to a specific assignment will be processed by the relevant recruiter.
If your profile matches the assignment we will invite you for an interview. Should this not be the case and we cannot help you further at that time, you will receive a rejection.
Every job application procedure contains a number of steps:

I have a question about a submitted invoice, who should I contact?

If you want to work as a self-employed professional, you must comply with the conditions in the model agreement. We can advise you about this. More information can be found on the page about the WDBA.

I haven't found a suitable assignment, how can I still leave my details?
Haven't you seen the assignment of your dreams on our website yet? Do you want to make sure our recruiters have your profile? Click on this link and fill in the open registration. so that you are registered with us.
After thatyear can you create an assignment alert sothat you will receive the latest assignments for your search filters by email.
How do I check the status of my response to an assignment?
After you have responded online, we will keep you informed by e-mail about the status and the further procedure. You will receive an e-mail from us after each step with the relevant information.
I haven't heard anything yet about my response to an assignment. What now?
During the procedure we will inform you by e‑mail about the status of your response to the assignment. Have you passed the selection procedure? Then you will receive an e‑mail from us about this containing the details of the recruiter who will further process your response. For questions about the status of your response, you can always contact your recruiter. You can find the contact options to the right of the assignment.
Contract management
I'm going to start at a client and need to contact Circle8. What now?
If you can let us know what the start and end dates are and what rate has been agreed, we will check those details with the client. As soon as we have received an assignment confirmation, we will contact you to discuss the contract terms.
You can also call us at 030-6001500 and then indicate that you want to speak to an employee of contract management.
I have not yet received a contract, when will I get it?
We will send the contract to you as soon as the file is complete. This means that we have received all documents from both you and the client. Your contract will be sent via SignRequest. If you still have any questions, call: 030-6001500
Why haven't I received my extension yet?
We will send the extension to you as soon as we have received a signed agreement from the client.
From when can I terminate my contract?
That depends on the agreement we have mutually made with the client. You can contact us about this. For a number of clients you cannot terminate a contract mid-term. You can find this in the agreement you signed with us.
What are your payment terms?
That depends on the contract and on the client. For a regular secondment contract the payment term is 30 days after receipt of invoice. For a service contract, where the client and you have found each other without our intervention, you have agreed a payment term with the client which we adopt with a few days of processing time. If you are not sure which payment term applies to you, you can contact us. .
Why hasn't my invoice been paid yet?
To pay an invoice, all documents must be in order. From you and from the client. Often missing documents are the reason for a delayed payment. If required documents are missing, we aim to inform you as soon as possible. You can also always contact us.
What information do I need to invoice?
The required information can be found in your contract. Further information about invoicing can be found in our FAQs on this page.
Can a specific article be removed from the contract?
In principle this cannot be done. If you have compelling reasons to want to change this, we ask you to contact the contract management department by calling 030-6001500.
Which documents do you need from me?
Depending on the hiring situation, we need the following documents:
Copy of certified extract from the Chamber of Commerce (not older than 3 months)
Copy of G-account agreement with the Tax Authorities (only if you are an employee);
Fully completed checklist;
Result entrepreneurs check via the tax authority ;
Proof of VAT number. Sometimes we have client-specific additional documents, such as:
Certified copies of the highest diploma obtained;
Confidentiality/integrity declaration;
Copy of VOG;
Statement regarding surcharges.
How long does it take before I get a contract?
We can send the contract as soon as we have received a signed agreement from the client. We depend on the client's speed for this. Of course we urge the client to arrange this as soon as possible. For information about the contract you can often also contact the client's hiring manager.
Invoices
I have a question about a submitted invoice, who should I contact?
If you have a question about a submitted invoice, for example about when it will be paid, you can email your question to: basisfactuur@circle8.nl . When is it best for me to send an invoice?
Your contract states when you may send your invoice. If you have any questions about this, email: basisfactuur@circle8.nl . When you have a service package you may email to servicepakket@circle8.nl . If you want to use Accelerated payment it may be sent to versneldbetalen@circle8.nl .
How can I submit an invoice?
Send your invoice to the email address that applies to your invoice. These are the addresses:

I want to make use of ultra-fast payment within 3 working days. What do I need to do?
Clearly state on your invoice:
Ultra-fast payment and deduct 3% from the total amount excluding VAT. Then send the invoice to: versneldbetalen@circle8.nl and we do the rest.
We guarantee to pay your invoice within 3 working days.
For an expedited payment we charge fees.
I want to use Accelerated payment in 8 werkdagen. What must I do?
Indicate ‘Accelerated payment’ on your invoice and deduct 2% from the total amount, excl. VAT. Then send the invoice to: versneldbetalen@circle8.nl en we do the rest. We pay your invoice guaranteed within 8 werkdagen.
For an expedited payment we charge fees.
How can I submit my invoice?
After preparing your invoice, you can send it by e-mail, together with the required timesheet, to: basisfactuur@circle8.nl . When you have a service package you may email to servicepakket@circle8.nl . When you want to make use of Accelerated payment it may be to versneldbetalen@circle8.nl .

What requirements does a correct invoice meet?
For drawing up an invoice, the tax authorities have formulated invoicing requirements. See the example on the website of the tax authorities.
What happens if the invoice is not correct?
If an invoice is not correct we will contact you. An incorrect invoice leads to a payment delay.
I have submitted an incorrect invoice. What should I do?
In that case we would like to receive a credit note or a debit note. This reverses the incorrect invoice in the accounting records. Simply sending a new invoice with the correct amount is not sufficient, even for your own bookkeeping.
What does an hours proposal entail?
Some clients work strictly with their own time reporting. The hours that are approved by the manager before the deadline are then submitted to us once a month or every four weeks. We expect an invoice from you in accordance with this timesheet.
When can I expect the hours proposal?
We indicate when we expect the proposal from the client and when that proposal will be forwarded to you. If you've forgotten, please call the finance department: 030-6001500.
My hours do not match the proposed hours. What now?
The client's hours are decisive for the preparation of the invoice. We do not work with an approved timesheet in this case. We kindly ask you, in the event of a discrepancy in hours, to verify the time registration. If the hours have been processed correctly, the hours will be included with the next timesheet.
When will my invoice be paid?
In accordance with the agreement:
Within 3 working days via High-speed accelerated payment.
Binnen 8 werkdagen via Premium expedited payment.
Within 30 to 45 days if the statutory payment term applies.
Within 5 working days after we have received the client's payment. The client's payment term will start after we have sent them an invoice. That usually happens within a few days after we have received your invoice.

Hyper-fast payment and deduct 5% from the ex. VAT total amount. Then send the invoice to: versneldbetalen@circle8.nl and we do the rest.
We guarantee to pay your invoice within 1 werkdag.

How can I unsubscribe?
To unsubscribe, send an email to professionals@circle8.nl . We will then arrange the deregistration.
What happens to my personal data?
We handle your data with great care, in accordance with the Personal Data Protection Act. Your data are processed in our computer system and used exclusively by our employees. We never provide your data to third parties without your consent.
Wet DBA
Does the WDBA also apply to me?
If you work as a self-employed person or hire self-employed persons, the Deregulation of Assessment of Employment Relationships Act (WDBA) also applies to you. For the Tax and Customs Administration it must be clear whether there is an employment relationship; the WDBA is intended to provide more clarity on that. It is from 1 mei 2016 no longer possible to apply for a new VAR and from 1 mei 2017 it is no longer possible to work with a VAR.
Is it mandatory to work with a model agreement?
No — when it is obvious that a self-employed person is an entrepreneur and therefore obviously there is no employment relationship, it is not necessary to use a model agreement. In case of doubt, however, it is advisable for the contractor and the client to determine which model agreement will be used. This way it is clear within which frameworks the work must be performed in order not to be classified as an employment relationship.
I work as a freelancer through Circle8, what changes for me?
In the transition period from 1 mei 2016 tot 1 januari 2018 it is intended that each extension will be handled using a model agreement. Circle8 is currently still using a temporarily approved model agreement, but will soon start using the model agreement of Bovib (Branch organizations for Intermediaries and Brokers). Circle8 Groep is in discussions with clients about the WDBA and the inventory of all ongoing contracts. During 2017 it will become clear whether your assignment can be continued by means of a model agreement or whether we will enter into talks with you about one of the alternatives.
Has the DBA Act been definitively implemented?
Yes, on 2 februari 2016 the Senate adopted the proposal for the Deregulation Assessment of Employment Relationships Act (WDBA). On 1 mei 2016 this law came into force and a transition period applies until 1 januari 2018. However, politicians are now busy clarifying the WDBA — for example the definitions of subordination (gezagsverhouding) and free substitution — to remove ambiguity and uncertainty in the market for hiring principals and self-employed persons.
What does the Dutch Tax and Customs Administration look at when assessing the employment relationship?
The Tax Administration has a ‘Guideline for the assessment framework for agreements on employment relationships (DBA Guideline)’ issued. The main checks are on the following characteristics:
Is there a relationship of authority towards the client and
Is there a personal obligation to perform work (aspect of free substitution)

Complaints and whistleblower scheme

We want to help you as well as possible, but sometimes something can still go wrong. Share your opinion or experience about our services via klachten@circle8.nl , we'd love to hear it.
What do you do with a complaint?
We are investigating which department your complaint belongs to.
This department will handle your complaint.
If we have any questions, we'll contact you.
You will receive a letter or e-mail from us within 2 working days describing what we will do with your complaint.
Whistleblower regulation
Integrity is a core value for Circle8. We consider it important that suspicions of abuse or irregularities can be reported.
Unlike a complaint about the process, the whistleblower scheme is intended for reporting wrongdoing of public concern.
Both employees and our external stakeholders can report abuse or an irregularity at Circle8 via our whistleblower scheme. The regulation and its associated reporting procedure can be found here.
Payrolling
When can I make use of payrolling?
If you want to work for one of Circle8's clients and don't have your own company, you can use IT-Agency.
Which collective labor agreement does IT-Agency use?
The NBBU collective labour agreement for temporary agency workers (without the temporary agency clause).
How many contracts/extensions are possible?
The NBBU collective labour agreement has a phase system, it consists of 4 different phases:
Phase 1 extend indefinitely, duration 26 weeks
Phase 2 extend indefinitely, duration 52 weken
Phase 3 maximum 6 extensions in 4 years
Phase 4 indefinite period.
IT-Agency facilitates agreements up to and including phase 3.
Am I building up a pension?
There is a pension scheme that provides for the accrual of pension for employees aged 21 and over. Participation in it is mandatory.
First, after a waiting period of 26 weeks, you build up pension in the basic scheme. After you have built up 52 weeks of pension in the basic scheme, you automatically move to the plus scheme.

When do I receive my salary?
If there is a gross hourly wage agreement, within 8 working days after receipt of approved hours, and for a gross monthly salary agreement, around the 25th of the month.
How many vacation days do I accrue?
With a full-time employment contract you accrue 16 vacation hours per month.
When is the vacation pay paid?
If there is a gross hourly wage agreement, monthly and in the case of a gross monthly salary agreement in the month of mei or earlier upon termination of employment.
Am I entitled to a sickness benefit?
In case of illness you are entitled to a Sickness Benefits Act benefit, After the lapse of one waiting day you are entitled to 90% of the gross salary, insofar as this does not exceed the maximum daily benefit wage.
